Gym Staff Roles: Trainer, Receptionist, and Admin Permissions Explained

Not every staff member should be able to do everything. mySmartAccessCard gives Nigerian gyms five distinct staff roles, each scoped to what that person actually needs to do.

A cleaner does not need to see revenue figures. A receptionist does not need to edit a trainer's class schedule. A trainer does not need admin access to the whole gym account. Yet many gyms in Nigeria run every staff member off the same shared login, simply because there was never a system that supported anything else.

mySmartAccessCard's gym dashboard supports five distinct staff roles, each with its own scoped permissions.

The five roles

  • Admin — full access to the gym's dashboard, members, revenue, and settings
  • Super-admin — the same full access, reserved for the account owner or most senior manager
  • Trainer — manages their own classes/programs and gets a dedicated check-in QR for their sessions
  • Receptionist — handles front-desk check-ins, guest passes, and payment recording
  • Cleaner — scoped to attendance/check-in only, with no access to revenue or member management

A check-in QR that belongs to the trainer, not just the front desk

Trainers running scheduled classes get their own scan-in QR, distinct from the gym's general entry point — members scan it specifically to check into that trainer's program, so class attendance is recorded separately from ordinary gym entry.

Give every staff member the right level of access. Set up your gym on mySmartAccessCard with role-based permissions from day one.
