Automatic Check-out at the End of a Shift When Staff Forget to Tap Out
Someone always forgets to tap out. Without a fix, their day never ends and their hours run on into tomorrow. Automatic check-out closes each person at their own shift's end time and marks it clearly as closed by the system.
A forgotten check-out quietly breaks everything that depends on hours. The person looks checked in all night, the hours column never fills in, and salary worked out from hours is wrong. It is the same problem the paper signing book always had, just faster.
How automatic check-out works
- Switch it on in Settings. It is off by default, so nobody is closed out unless the business chooses it.
- For shift businesses, each person is closed at their own shift's end time, not one closing time for everybody. Morning staff close at the end of Morning, Night staff at the end of Night the next morning.
- The check-out is stamped at the shift's exact end time, not the moment the system runs, so nobody gains or loses minutes.
- The record is marked Auto-Closed, never disguised as a real tap, so anyone looking at their hours can see the system closed it, not them.
- The admin gets one notification listing how many people were closed.
If they were actually still working
If the person was still at work and taps out later, that later tap is recorded as overtime and held for a manager to approve. See overtime approval. Until it is approved, pay counts up to the end of the shift.
It never closes a shift early
Nobody is closed before their own shift has ended. A night worker on a 8pm to 8am shift is left alone through the night and only closed after 8am if they have not tapped out.
Questions people ask
What happens if a staff member forgets to check out?
With automatic check-out switched on, they are checked out at the end of their own shift, and the record is marked Auto-Closed so it is clear the system closed it.
Does automatic check-out use the time it runs or the shift end time?
The shift end time. A person whose shift ends at 5:00pm is stamped as checked out at exactly 5:00pm.
What if the person was still working?
Their real tap-out later is saved as overtime and held for a manager to approve before it counts toward pay.
