Overtime Approval: Pay Real Overtime, Not Forgotten Tap-outs
Paying overtime straight from tap times invites a simple trick: tap in, leave, come back hours later and tap out. mySmartAccessCard records late tap-outs as overtime but only counts them toward pay once a manager approves them.
Overtime is real and staff deserve to be paid for it. But when a system pays every minute between a check-in and a late check-out automatically, it also pays for the afternoon someone spent away from work before coming back to tap out. Approval puts a person back in that decision.
How overtime approval works
- 1A staff member's shift ends and automatic check-out closes it at the shift end time.
- 2If they tap out later, that real tap is saved and marked Overtime, waiting for approval.
- 3Until a manager approves it, pay counts up to the end of the shift. The real tap-out time stays on the record for the manager to see.
- 4When the manager approves it, the extra time counts toward pay and the staff member gets a notification.
A tap that is really an arrival is not overtime
If someone was closed out in the morning and taps again in the evening for their next shift, that tap is an arrival, not twelve hours of overtime. The app recognises a tap that belongs to a later shift and records it as a new check-in instead.
Why this matters for payroll
- Overtime is paid for time that was really worked and checked by a manager.
- Managers see every overtime tap waiting for approval in one place.
- Salary reports stay accurate. See payroll and salary computation.
Questions people ask
How do I stop staff claiming overtime they did not work?
mySmartAccessCard records a late tap-out after a shift as overtime but does not count it toward pay until a manager approves it.
Is overtime paid automatically?
For businesses using shifts, no. Overtime after an automatic check-out waits for manager approval. Until then, pay counts up to the end of the shift.
What if a staff member taps in for their next shift after being auto-closed?
That tap is recorded as a new check-in for the next shift, not as overtime for all the hours in between.
